Job Description
This position is to efficiently carry out the Company’s logistics workflow processes making sure that appropriate organization of technical and operational tasks are in place and available on time as required. The duties include managing and tracking records of packages and freight effectively, preparing documents and shipment, communicating with relevant parties and executing smooth delivery to the clients in order to achieve the Company’s business goals and objectives.
Job Responsibilities
- Organize operational data entry into the system, maintaining files and documents ready on time and available when needed, reporting to Management, to ensure all required freight documents are ready on time and available when needed
- Handle the technical responsibilities involved with Company’s business operations such as package handling, operational data entry, invoices and customers’ billing preparation, freight scheduling and tracking, clients’ assistance and other related duties assigned as per Company’s business operation and requirements
- Book and schedule shipments with carrier partners and coordinate with relevant parties to ensure a smooth and efficient delivery under the general supervision of Management
- Answer phone calls, respond to emails, conduct operational follow-ups in a prompt and friendly manner, and resolve issues related to quick decisions efficiently with the freight carriers, customers, and brokers by maintaining knowledge of industry terms and jargon, while escalate to Management when appropriate
- Execute the shipment plan for delivery as per clients’ requirement, this may include physical activities such as lifting of boxes either by hand lifting or using specialized equipment, properly repackaging products as per standard operating procedure, transporting the boxes to delivery partners as well as generating shipping labels for all outgoing packages to ensure a smooth and efficient delivery to the clients
- Collaborate with Sales and Marketing Department to develop and execute the sales strategies to draw in potential leads and new customers to support the continuity of business operations in pursuit of the Company’s goals and objectives
Job Requirements
The candidates are expected to have the following qualities:
- Minimum Bachelor’s degree in Logistics or Transportation or Supply Chain or Business Administration or related field
- Strong knowledge of office procedures and basic data entry process
- At least 1 year of working experience in related field is an advantage
- Proficient in Microsoft Office (Excel & Word), Google Drive (Docs, Spreadsheets, Forms) and Email will be an added advantage
- Excellent written and verbal communication skills with all levels, assertive and initiative
- Must be a physically healthy person who possesses the ability to lift, carry, push, and pull materials and objects weighing up to 25 kg and heavier weights with the proper equipment. Work tasks may occasionally include bend, stoop, kneel, reach, and climb to perform work.
- Conscious of timelines and deadlines and complete multiple tasks and complete tasks on time with minimal supervision
- Able to work independently, having good work ethics, pleasant personality, positive attitude, flexible, self-motivated, trustworthy and resourceful
- Must be responsible, result-oriented, outgoing pleasant personality, energetic, mature, good interpersonal communication skills, and multitasking capability
- Possess a positive working attitude with passion to learn and have an excellent verbal communication skills to effectively interact with customers and team members
- Required skill(s): Competent in using computer and applications such as Google Drive (Google Sheets, Docs, Slides, Forms, Email), Microsoft Office Word and Excel, Canva
- Preferred skill(s): People Skills, Customer Service Skills, Data Analytics Skills

Upon completion of the probation, the candidate will advance to be a Logistics Coordinator Executive. He/She who possesses the quality of leadership, high self-motivation, showing outstanding problem solving capabilities, efficient task delegations, consistently delivering cost effective approaches, in addition to having a working competency experience up to 3 years, he/she can advance his/her career to be a Logistics Manager or Import/Export Operations Manager.
Entrance Application Overview
Applicants must submit their interests to the HR Department via email (workforce@exaira.com). Then, the applicants shall be given assignments and tasks relevant to the position applied and it must be completed within a specified time-frame. Selected applicants will proceed to the final interview session with the HR Department, and they will be notified for the interview session via email.
Successful candidates are to be offered a 2-week employment contract, and if satisfactory will be awarded as a probation employee for up to 3-months. Through a series of performance evaluations, the employee will be offered a position as a full-time employee of the Company at the end of his/her probation period.
